2. Website hosting and access data

SiteGround hosts this website and processes technical connection data needed to deliver and secure it. This may include your IP address, date and time of access, requested page, browser and device information, and security records. SiteGround handles hosting logs under the applicable hosting service terms.

3. Project and contact enquiries

If you send a contact or project request, we process the details you enter, such as your name, email address, optional company and phone number, selected service, project answers, and any message or external link you provide. We use this information to respond, assess the request, prepare an offer, and perform a project if one is commissioned.

The legal basis is taking steps at your request before entering a contract and, where a contract is made, performing that contract (GDPR Article 6(1)(b)). We retain the correspondence for as long as needed to handle the enquiry and any resulting project, subject to statutory retention duties.

Your details are used only to respond to your enquiry, prepare a proposal, provide the service you request, and handle project-related revisions or follow-up. We do not sell your information or use it for unrelated marketing.

4. Email delivery

Project requests are sent to hello@designotopia.com through Resend, and the website sends an acknowledgement to the email address supplied in the form. Resend processes the message content and recipient details to deliver the emails. Hostinger stores incoming messages in the studio mailbox so they can be reviewed and answered.

Please avoid sending special-category personal data or information that is not needed for your project enquiry.

5. Uploaded files and download links

Files you choose to upload with a project request pass through our website server hosted by SiteGround and are stored in a private Cloudflare R2 bucket. The website includes their names and temporary download links in the project-request email. Downloads are also delivered through our website server. The download token expires after 30 days; this does not delete the stored file.

The files are held in a private Cloudflare R2 bucket managed for Designotopia. Cloudflare provides the storage infrastructure; we use the files only for the enquiry and project service described above.

The configured Cloudflare R2 jurisdiction is the EU. Temporary uploads are deleted when you remove them from the form. Temporary copies more than 24 hours old are cleared when storage housekeeping next runs. Submitted project files are stored separately and kept only while needed for the enquiry, project or requested revisions, subject to legal retention duties. Deletion of submitted project files is handled separately; the 30-day download-link expiry does not delete them.

Do not upload confidential or personal information about other people unless you are authorised to share it.

6. WhatsApp contact

The WhatsApp enquiry form initially keeps the details you enter in your browser. If you choose to continue, the website opens WhatsApp with a pre-filled draft containing your name, selected service, project description, and optional timing. The message is not sent automatically; you review and send it in WhatsApp. If you proceed, WhatsApp/Meta processes the information under its own privacy terms.

7. Locally hosted fonts

The website serves its font files from its own hosting. Loading these fonts does not establish a connection to Google Fonts.

8. Cookies and browser storage

The current application source contains no analytics or advertising cookies. It uses temporary session storage in your browser to remember the previous service card and scroll position when you return from a service page. This storage is not used to track you across websites. See the Cookies page for more detail.

If you choose a language, a preference cookie remembers it for up to one year. It contains only the language code and is not used for advertising or profiling.

9. Recipients and international transfers

Depending on the feature you use, data may be processed by SiteGround, Resend, Hostinger, Cloudflare, or WhatsApp/Meta. Some providers may process data outside the European Economic Area. Their applicable privacy and data-protection terms describe their processing and any international transfer safeguards.

10. Retention

We keep enquiry and project data only for as long as it is needed to respond, perform the project, and handle revisions or follow-up requested by the client. We delete project files when they are no longer needed or when you request deletion, unless we must retain them by law or to establish, exercise, or defend legal claims. Accounting and other legally required records may have separate statutory retention periods.

11. Your rights

Subject to the conditions in data-protection law, you may request access, correction, deletion, restriction of processing, or a copy of data you provided. You may object to processing based on legitimate interests and withdraw consent where processing is based on consent. You also have the right to lodge a complaint with a supervisory authority.

12. Automated decisions

We do not use this website to make decisions about you solely by automated means, including profiling, that produce legal or similarly significant effects.

13. Updates

We may update this policy when the website or its data processing changes. The version published on this page applies.
